Marketing/Graphic Design & Membership Director

The Petroleum Club of Midland is seeking a qualified candidate for the Marketing/Graphic Design and Membership Director. This is an exciting leadership position responsible for new member acquisitions, orientations, and integration into the Club and general Club communications. As the Marketing and Membership Director, you will coordinate and direct all membership and communication activities to promote the services, facilities, and benefits of The Petroleum Club of Midland, in conjunction with the club's overall mission and vision statements. Job duties center on managing new member acquisitions and orientation to the club as well as retaining existing members while overseeing all communications with the membership. Member communication includes organizing, coordinating, and implementing all pertinent information to the membership, including managing the Club’s website, weekly emails, Club newsletter, and the upcoming events calendar. This position's overall goal is to enhance the member relationships within the club while growing membership and reducing attrition with superior support, service, and communication to the membership.

Graphic Design/Marketing & Membership Services:

· Welcomes new Club members; meet and greet all Club members as practical during their visits to the Club.

· Arranges or conducts introductory Club process to new members, set up new members with the website and App.

· Uses online email marketing software (Clubessential) and the Club’s website (public and members only) as useful tools for accurate and real-time information on the entire Club.

· Update information regularly with current news, upcoming events, and other pertinent information.

· Oversee issues and complaints as professionally as possible; assist with any questions, troubleshoot any technical difficulties with any of the Club’s website access.

· Attend all relevant operational meetings; attend various member committee meetings, as necessary.

· Complete daily, weekly, and monthly reports as required.

· Assist the Nominating Committee annually for Board service with Board candidate communications, including updates to the website on an ad hoc basis; assist Board candidates as needed with the formatting of Board candidate submission documents.

· Take the lead role in publishing periodic newsletters for members and other communication as needed from time to time; assist department managers in drafting/creating articles/information for publication.

· Maintain Club Events Calendar, publish event photos on the website gallery, update employee directory as required on the website, and all other website updates as needed regularly to ensure all information is fresh and accurate.

· Draft conceptual design for events or other special promotional flyers/marketing collateral or communications

· Communicates regularly with other management team members to discuss activities, goals, plans, and member input.

· Maintain all communications brand standards, fonts, and formats in all member communications and signage.

· As assigned, complete special projects and duties as requested by General Manager.

Knowledge and Skills

· Ideal candidates will understand and possess the ability to keep confidentiality an utmost priority in an environment where membership information must always be kept secure and private.

· Computer literate, possessing skills in Microsoft Office and Outlook, including word processing and spreadsheet applications. Other applications necessary include Excel, Canva, Publisher, Adobe Creative Suite, In Design, Illustrator, and Photoshop. Ability to implement new systems.

· Possess strong written and oral communication skills, detail-oriented, and ability to multi-task both written and verbally.

· Ability to function under pressure, set priorities, and adjust to changing conditions.

· Excellent time management skills.

· Ability to listen, communicate (written and verbal), excellent grammar, spelling, proofreading skills, and follow-up effectively with all staffing levels and clients/customers.

· Ability to be a self-starter, energetic and organized.

· Good organizational and motivational skills with the ability to work independently as well as with a team. Requires a high degree of administrative and executive ability, especially in terms of problem-solving and decision making.

Membership:

· Communicate daily with the General Manager to ensure a coordinated effort at providing a year-round quality experience for members and guests.

· Become familiar with member rules and regulations.

· Welcomes new Club members; meet and greet all Club members as practical during their visits to the Club. Arrange and conduct the introductory process for new members.

· Communicate with prospective members, welcome them to the Club, go through the membership package, and arrange a tour and prospective member hosting.

· Welcome letters, directory, rules/regulations binder, and website.

· Attend member events and functions; assist with planning, as requested.

· Communicates regularly with other Club leadership team members to discuss activities, goals, plans, and member input.

· Uses direct mail, email, and the Club’s website (public and members only) as useful tools for accurate and real-time information on the entire Club and community. The position must be apprised of all current news, upcoming events, and other pertinent information.

· Handles issues and complaints as professionally as possible, always be a Petroleum Club of Midland’s ambassador on and off the property.

· Attends all relevant and vital operational meetings.

· Complete daily, weekly, and monthly reports as required.

· Adhere to all federal, state, and local laws regarding health, safety, and employment.

· Assist the General Manager and Controller in preparing all membership plan documents to send to new members.

· Manage the membership paperwork and filing. Keep all member files current.

· Assists in the marketing and membership relations programs to promote the Club's services and facilities to potential and present members.

· Assist with other duties as requested by the General Manager.

This is a full-time salaried position with a full benefits package.
