The successful candidate will provide financial and administrative support in the Finance department and support the College at large in Account Payable General Ledger accountingand Audit.

RESPONSIBILITIES:

  • Entering and processing accounts payable invoices daily working closely with the Procurement team to ensure purchasing and payable activity is accurate reliable and all discrepancies are investigated and resolved
  • Ensuring the completeness of the voucher packets (purchase orders proof of receipt invoice cheque requisition if applicable) proper authorization and accuracy of invoices
  • Processing employee expense requests in accordance with the approved policies and procedures
  • Completing cheque/EFT batch runs wire and online banking payments cheque distribution and filing on a weekly basis or as required in accordance with the critical date list to ensure payments are made prior to due dates
  • Reconciling vendor statements documenting and resolving within appropriate timeframes
  • Reviewing Purchase Order (PO) commitment report with Procurement and prepare reports on a monthly basis
  • Handling accounts payable related inquiries and contacting vendors when necessary
  • Completing month end entries and uploading journals into accounting system for approval
  • Conducting reconciliation for accounts payable control account
  • Preparing PO commitment report for year-end accrual and providing accurate and completed report to the Finance Manager for review
  • Assists the finance team as requested

QUALIFICATIONS:

  • Post-Secondary education in accounting or related discipline
  • A minimum of 1 year of experience in a similar accounting position preferably in a not-for-profit charitable sector and/or educational institution
  • Functional knowledge of general ledger accounts receivable and accounts payable operations in a not-for-profit and/or educational environment
  • Good interpersonal skills able to communicate effectively oral and written to all levels of staff as well as external contacts with minimal supervision
  • Exceptional organizational skills and detail orientation
  • Experienced with Microsoft Dynamics 365 and other relevant accounting software
  • Advanced Excel skills and solid understanding in other MS Office products
  • Exemplary customer service skills to deal with a wide variety of internal and external clients
